Job title: Operations Coordinator  

Hours of Work: Full-time - 37.5 hrs a week 

Salary: £25,000 - £28,000 yearly  

Base: City Church, Dyfatty Street, SA1 1QQ

Accountable To: The Church Leadership - directly to the Senior Pastor 

Work Alongside: The Ministry Team, Staff, Interns and Volunteers 

 

JOB SUMMARY: 

Job purpose: 

  • To oversee and develop the operational functions of City Church Swansea, ensuring that as an organisation we are effectively advancing in delivering the vision of the church in all areas.

  • Be an Ambassador for City Church Swansea.

  • Ensure that all areas of operational oversight align with the vision and values of City Church Swansea. 

  

JOB DUTIES

 Operational Coordination

  • Establish and develop work systems to manage the effective and efficient daily operation of the church, car park, and church grounds.

  • Oversee waste management, purchasing of all stock (including hospitality supplies), information point leaflets, paying annual licenses, and pickup/collection of donations.

 

Venue Management

  • Oversee and manage the hiring of venues – Main Hall, Balcony, Basement, and the Hub.

  • Develop a logistics team and plan the logistical requirements for our weekly gatherings.

 

 Staff and Volunteer Coordination

  • Manage the church cleaners and volunteers, ensuring that the first point of contact is of a high standard for all incoming/outgoing queries and communication.

  • Maintain the City Church Swansea database, liaise with providers, cleanse the data annually, manage the church calendar & bookings, and support staff and volunteers with training.

 

 Supplier and Contractor Relations

  • Oversee and manage relationships with external suppliers and contractors, IT companies, Utility companies, Alarm company.

 

 Health and Safety Management

  • Oversee Health and Safety, including supervising property maintenance.

  • Qualification in IOSH or NEBOSH.

 

Volunteers on H&S tasks and projects.

  • Keep the H&S staff handbook up to date.

  • Keep up to date with Elim H&S and ELIMNET.

  • Ensure regular and annual testing for legionella, fire alarm system and equipment, security, LOLER, PAT, and Furniture.

  • Maintain and develop City Church Swansea’s policies and procedures in relation to H&S and operations.

  • Arrange staff training for First Aiders, Fire Wardens, and IOSH training. Refer to ELIMNET.

 

 Vehicle Management

  • Maintain and manage the vans and the bookings for their use.

 

 Team Collaboration

  • Work as part of the City Church Swansea team and assist with other activities as and when required.

  • Ability to build good working relationships with a wide range of people in different roles, including Pastors, staff, volunteers and users of church facilities.

  • Excellent time management with a proven track record of prioritising workload.

  • Excellent organisational and administrative skills.

  • Ability to work well under pressure, cope with frequent change and meet deadlines.

  • There is a genuine occupational requirement that the post-holder be a practising Christian.

 

City Church Staff working requirements:

  • Full-time, permanent role (37.5hrs a week).

  • Attend City Church Swansea.

  • You will attend and participate in the weekly staff meetings as and when needed.

  • Evening and weekend flexibility as required.

  • Invest in your own development by pursuing operational-specific and broader training and resources.
